Minutes of the 2013 AGM

Post by Nigel(no top)Sykes »

Mini Moke Club AGM
12 October 2013
Holiday Inn
Bedford Road
Northampton
1:30pm

Present
21 Members (11 committee and 10 ordinary) and 1 non member.

Apologies
Ian and Carol Potter, Paul Beard, Denzil Inman, Ted Hymans, John Bastin, Dean Chapman, Mark Vellenoweth, Mark Peacock

Minutes from last meeting
The attached sheet with the accounts is missing including the costings for Moke 50. Peter Mackenzie-Williams (PMW) reminded the meeting that the Moke 50 costings were voted for at last year’s AGM but since then this has evolved. Note can be added that the Club made available £4,000 plus advertising revenue for Moke 50. Moke 50 budget will cover what we need to spend as we have called in favours and we may even end up with a surplus. Minutes proposed by PMW seconded by Barry Clough (BC) and agreed (17 for, 0 against and 2 abstentions).

Officer’s Report

Chair (Chris Naish(CN))
It has been a good year which has seen the Club celebrate 30 years, IMM, IMMM, Castle Coombe and Welsh Weekend. Finances are healthy and Regalia has made a leap forward thanks to Jan. We have had a lot of publicity with Mokes on the telly, in both Mini Magazines and Land Rover Owners. The club magazine has improved over the last 30 years from the typed and photo copied newsletter issue 1 produced by Paul Beard to the lastest issue professionally printed and edited by Roy Scott (RS). Moke 50 is in budget and we have a strong Moke 50 team.

Treasurer (PMW)
£23,300 in funds (Bank and spares). Our financial year runs November to October and income is £800 more than last year and outgoings are £1,200 less than last year. Membership is healthy and book sales have doubled with regalia up 200%. Regalia cost is also up but this is balanced by sales. Spare sales fallen the last 2 years (2010-2011 was £4,000, 2011-2012 was £2,500 and 2012-2013 is £1,400) and there is nothing clear for this decline. We have bought less spares and magazine costs are down. Last year we had National expenses but there were none for this year. Moke 50 budget is £4,000 plus £400 revenue from advertising so the situation is good and healthy. Advertisers are Summerford Minis, Swift Tune and Leo Jack (Cooper Cars and Moke Panels). Leo Jack’s Moke panels are not competing with the Club spares as our stocks of panels are dwindling.

Editor (RS)
There has been five editions of the Magazine since last AGM all 36 pages but the next issue will be 40 pages and the deadline is next Friday. RS thanked all those who have contributed to the magazine.
Moke 50 book (50 years since production began and 55 years since the first prototype) has taken up a lot of time and will be 100 pages. Prototype section is to be written by RS and Graham Robinson, English by PMW, Australian by John Bastin (JB) and Portuguese by Mark Vellenoweth (MV). Moke 50 book will replace April’s Magazine, photos are expensive because of buying the copy write. CN thanked RS for all his efforts and hard work.

Membership (Kate Hall (KH))
We have a healthy membership with 406 (including honorary members) 112 overseas and the remainder are UK. We have new members since April with 1966/1967 English Mokes in green or white. Website problems have impacted on ISUBs renewals. The red envelopes are working well. KH was asked how many American members we have and replied there are 112 USA members and have lost 5 USA members this year. Cherry Chandler has given her historic documents to the Club, which is currently with RS.

Publicity (Graham Thomas (GT))
We have good coverage in Mini press. We had a slight disaster on the way to IMM due to a breakdown. But there was a lot of interest from foreign members. European members stay with their local clubs but will park Mokes with the Moke Club. This year’s organisers put a flyer and card in each information pack. GT Company paid for the electricity.
Classic Car Show at the NEC is the next event and he is looking for a good Portuguese Moke to go on the stand. This will also be the first use of the Club’s new display that was up at the AGM for members to see.
GT is looking at video clips from films to make a montage that can be played at Moke 50. GT asked if anyone had a copy of the film made by Ken Butterfield, Kay
Willis said she could supply a copy of this. Pathe news are £30.00 a clip, GT have approached them but has not made a definitive choice yet. Can anyone present forward links to any clips containing a Moke to him. The montage will be played on 2 40” Plasma screens.
BBC marrying Mum and Dad (made this year and Mokes supplied by the Club) copy write is owned by BBC (Worldwide) Ltd, a commercial organisation, so it could be expensive so we need to be careful.

IMM (Stephen Hall (SH))
This year was a good trip and was a very successful event although it was a long way. We had great publicity and a lot of interest. We had a great day on the track with a “parade” of 400 minis.
2014 is Kent and 2015 will be in Lithuania. Insurance and breakdown cover don’t usually cover Lithuania so members attending will need to make sure they check this and make the appropriate arrangements.
Belgium will be applying for IMM 2016.

Regalia (Jan Zuidorf (JZ))
This has been an interesting task and has not quite panned out how JZ had envisaged but is settling down. JZ thanked GT, Judith Thomas (JT), SH, KH and Rosemary Zuidorf for selling the merchandise through out the year. The Club has spent £1,170 including the one off set up costs for each design. To date we have sold £918 plus the regalia sold today, T-shirts have been very popular. Keep calm T shirts are very popular so we will continue to produce these. Polo shirts sales have been disappointing and we have only sold 30%. JZ would like any comments on the designs and merchandise we have produced or the ones we produced or members would like us to produce, new lines or colours. Green fleeces bottle green, online members could vote on the forum, and Ladies cut T-shirts. We have had a big run of 3XL. Let JZ know if they have particular needs. There will be a slight delay from placing an order and receiving the goods, as we have to order in batches of 20.

Portuguese Registrar
So what’s been happing in the world of the Portuguese’s Register for the last year?

• 1 odd information request on a unknown Black Moke in Portugal

• An internet enquires about Moke wheel sizes and there type cortication. Alloy’s / Steel wheels, the Germans authorities are being over technical over 20 Year old Moke.

• 2 internet enquires about Moke colour matching.

• 6 Moke History’s completed, and I still get very little feedback from members once sent back! But it goes with the job.

• 4 Insurance valuations, one was for a 2 Moke family.

• 2 Mokes imported from Greece and one from Spain all required DVLA letters, and with more local DVLA office closing the DVLA are getting harder to deal with!

• I think I have complete Portuguese section of the Moke History for Roy, but I am shore Roy will update me in due course. The unedited 29 page effort took months; I just trust there is room for it all, as it has a lot of information old and “new” if history can be call new! Sorting the photo’s for Roy took another 4 weeks with attached information, I do not envy Roy get the right mix of photos to match all the articles parts. I just hope all the effort is worth it.

Well that’s a year’s work for the Portuguese Registrar, my only regret I have is I have not been able to write an article for the club magazine. Which form the member’s point of view must put me in a bad light, as just appear I sit on the committee and do nothing.

Anyway with all the above said I am willing to continue on as Portuguese Registrar, if you will have me do so, believe it or not it is a hobby I enjoy. Some of the club politics just wash over me; we are all in the club because we all like Mokes, smile, nod, and Moke On!

Austin Ant
Roger Glover (RG), a Moke Club member for 23 years with a laid up Moke, has an interest in the Austin Ant that runs in parallel with his interest in Mokes. RG has amassed a lot of information and photos on Austin Ant and he is looking for a home for it, he thought of the Moke Club. The club will benefit from the information and Austin Ant owners/enthusiasts will benefit from our infrastructure. The Club is not going to be overrun but it would bring in new members and be an enhancement to the club. GT proposed we invite Ant owners/enthusiasts to join us, seconded Paul Hancox and agreed by AGM (20 for, 0 Against and 0 Abstentions). Reason for change is so that they are recognised.

Webmaster
Dean Chapman set up the website 15 years ago and has been our webmaster ever since but he is now tired and has decided to stand down. We need a new webmaster do any of the members present want to take on this role or do they know someone who would be interested. Dean will put something in the next magazine. Nigel Sykes is happy to give it ago if it is all set up. We also need to consider if we need more moderators, we used to have some. Nigel will contact Dean and if he wants to do it the committee will co-opt him at the next meeting. CW proposed a vote of thanks to DC for all his hard work particulary with the hacking incidents we have suffered this year.

Moke 50
GT and SH presented a powerpoint presentation to the meeting re Moke 50 at IMM 2014. We have two areas, Area 1 and Area 2. Area 1 is undercover in the new exhibition hall which is currently being built and Area 2 is outside and is with the camping. Area 2 is 90m x 75m, we will park most of the Mokes around the edge of thearea, we will also put up some event shelters as well. We will have a small display of Mokes behind a post and rope barrier which most visitors will observe in Area 1. Area 2 contains our own shower and toilet blocks. The public pedestrian entrance is by Area 2 so every member of public attending will pass our stand. GT/CN will check how we get Mokes in on the Sunday. Kent showground are doing security for the event and we will ask if we can have security fencing to separate the tents from the public area. We will need to man both areas so we will be asking members their families and friends to do one 4 and half hour session between 9am and 6pm that requires 24 staff for the weekend. They will need to talk about Mokes and the club. Area 1 will contain the new stand with banners across the top with the name of the Club then 3 panels underneath, panel 1 covers prototype and English Mokes (both mark 1 and 2), panel 2 will cover Australian and is complete. Panel 3 will cover Portuguese and Cagiva, GT has spoken to MV but still requires a high resolution picture. MS said he has some high-resolution pictures and the club is welcome to use them. The stand will make its debut at NEC.
Sunday is the Public day and members need to be aware that there will be movement restrictions for vehicles, which will affect people wanting to leave while the event is open to the public. We will need to work out a roster of people to cover the shifts, if we have more people we could shorten the length of each shift, if we don’t have sufficient people Area 2 will left unmanned.
PH asked who would pay if there is damage to the prototype moke, RG said last time the club borrowed the prototype the vehicle’s insurance covered it against damage but we will need to check if this is still the case. We will also need to check what the Club’s public liability insurance covers and also what SMOC and Kent Showground insurances cover, also who will be responsible for any incident in our area. The Club will ensure we have sufficient insurance cover, Health and Safety briefing is given and there is appropriate medical cover. Committee will investigate the concerns raised and feedback the replies in the club magazine and website.
SMOC sponsors won’t allow Moke 50 on the home page, Club will negotiate but this is outside our control.
Tickets are currently £50.00 for the weekend rising to £70.00 closer to the event. Day ticket is £15 per day. Tickets can be obtained directly from SMOC via there website.
Club will ensure it gets everything in writing.

Rule Changes
RG proposed a change to rule 2a to add “including Austin Ant” after Mini Moke, seconded by NS and carried 18 for, 1 against and 1 abstention.

Events Diary
• Classic & Sports Car held in Hampshire, Clive Harrigan Moke from Wellingborough but we need a second moke. Tony Freeman or Peter Jones to be approached to see if they are interested.
• New Years Day Parade in London – AW is just awaiting details, need these to decide where to meet etc. GT has spoken to Keith Ball, son of Kenny Ball who died this year, but has not yet had a response. The organisers have given us permission to have Kenny Ball’s jazz men in the Mokes playing as long as we can meet health and safety regulations. We have 14 Mokes taking part and the event is televised world wide.
• Christmas Party is 11 January 2014 at Edwinstowe in Sherwood Forest and will be in Novemeber’s Magazine. 27 people confirmed and menus issued to them.
• National – We don’t usually hold a National in a year when we have an IMM in England as this normally replaces the National, however we have been asked if there could be a National in 2014 in Derbyshire. This is fine as long as it is not the same weekend as the IMM. Could be a Moke only 50.
• Silverstone Classic Event, we have been invited but have not yet responded.
• Longbridge to Gaydon run be we don’t have a date for this yet.
• Please could anyone who has any events pass the dates on to SH.

Joint Membership
We used to do a family membership but this seems to have lapsed and no-one at the meeting knew exactly why. We have had a request from Ian Potter:
“My only contribution relates to the fact two members of the same family pay two full subs to receive two identical magazines
Which is where the clubs expense is. I request the senior team at the club/ Committee consider full membership for the first member and a significantly discounted membership for the second member with only one magazine. For ideas as to how this works see how the Cooper Register Club work.
If anyone raises the voting rights for the second member of the family I believe this is a red herring.”
MS said this is a confusing picture, how many members does joint membership count as one member or two, do they require the same address to have joint membership or can they have it at two separate addresses, how many votes do they get. PMW said SMOC said their joint members have 2 votes. PU and LU are two individual members at the same address. RS proposed we leave membership as it is, seconded KW 18 for, 2 against and 0 abstentions.

Any Other Business
• MS suggested Honorary Membership for DC. CN explained we no longer give honorary membership, it had been replaced by Gold badges instead. Serving committee members can’t be awarded Gold Badges but DC will be nominated next year.
• Gold Badges – are we awarding any this year. There have been no nominations this year, so none to be awarded.
• Next Year’s AGM – Will be 11 October 2014
• Suggested we increase the number of committee meetings from 4 to 5.

Meeting Closed.

Next Meeting – Committee meeting will 25 January 2014.
Come on summer
